As far as I can I have clients default directories on the server, it is much
safer on there and less likely that anything will be missed from the
backups. Also the anti-virus on the server gets to check all of their
documents on the way in and out, I feel much more confident with the anti-v
on the server than I do with the one on the clients.
But that isn't enough, you have to keep backing up their '/Documents and
Settings', to pick up anything that they put onto the desktop, but also to
backup their emails. Because of the transient nature of emails they are
very difficult to backup without ending up with many copies of previously
backed emails. But we all have to come up with a way to back up emails
effectively because of the new regulations. With emails being legal
documents we have to be able to recover those coming in as well as those
going out.
As an asside:-
{ So far I haven't come up with a decent format for a database for an
automatic document database from the email server, while being easy to find
emails from what will over a couple of years be many hundreds of thousands
of emails. If they were groupable as news posts are it would be much
easier. So if any of you have come up with a nice method I'm sure we would
all love to hear about it. }
In the end though, other than setting default directories in their MS Win
applications, you have to simply tell them where to save their documents
to, make it clear to them that if their documents are not on the server
they are fully responsible for ensuring that they are backed up. There
isn't anything wrong with them keeping local copies of documents, so long
as they update the server copy when they can. That is a job I was hoping MS
desktop sync or nriefcase would have done, but it was never successful when
I tried it.
